How do you create a successful event with us?
Stories, believing in them and telling them have enabled people from different backgrounds to find and build greater connections throughout history. An event is a great platform to stand out and build shared experiences, as well as to tell your story and message strongly.
For us, events mean more than a single successful event day or a high-quality concept. Every event has a continuous life cycle from the brief to the closing meeting, both from the perspective of the project team and the participant. The more planned, goal-oriented, open and high-quality this life cycle is, the more successful the end result will be.
Whether it is a corporate event, a fair event or a branding event for consumers, the production stages follow a very similar path.
1. Planning
To tell your story, we must first understand it. This way, we can take joint responsibility for including key issues and achieving goals already in the planning phase.
Brief & Clarification of Goals
The starting point for everything we do is “why”, not “how”. Each of our productions is different, so before we start planning the implementation, we want to know what our client’s business goals are, what is expected of the event, what they want to remember from the event and what are the things that need to be achieved, so that after the event we can together say “WOW! We did it!” Only when we know the background and goals can we design the tools to achieve them.
Event Concept and Planning
Once we know why we do it, we move on to the question of what we do. At this stage, “more is more”, meaning we let ideas fly, and we are not afraid of those bad throws that can turn into diamonds under pressure. At the heart of planning is building a goal-oriented concept designed for goals and participants, supported by practical implementation.
2. Production
A lot happens behind the scenes of a successful event. It is our job to make these things run smoothly in the eyes of our client and with the aim of a successful outcome. We break down pre-production into parts, schedule the different phases and ensure that our client has up-to-date information about the progress throughout the project. We make sure that our client does not have to worry.
Start of production
When starting the practical implementation, the goals of the event and what we are doing are clarified once again. Shared folders are created, resources are locked, project tools are opened, communication channels are agreed, the project plan and task allocation are specified and the cost estimate is reconciled. A well-managed start of production creates the foundation for communication, systematic work and a good night’s sleep throughout the entire project.
Production phase 1
Immediately after the start of production, the famous big lines are locked. We choose the venue, create a basis for participant communication, lock down the supply chain and partners, and ensure that all parties involved know that the production process has started.
Production phase 2
Often after big decisions, we take a breather and start promoting smaller, but still important details for the whole. The second phase of production can even be considered a slightly dormant phase, because during this time the end result is improved in small steps, reflected against the already agreed goals, content is promoted, participant experience is created, the schedule is refined, site visits are held, and planning meetings are held. Production phase 2 is the most important phase in terms of the quality of the end result and the small details.
Production phase 3
A few weeks before the event, things start to get hectic, when the final go-ahead is given to all areas and practical matters of the event. At this stage, the exact program of the event is locked, final production documents are prepared, precise construction schedules are ensured and final confirmations are made, after which things are locked as they will be implemented in the event. At this stage, the goals of the event, which often become blurred in a hurry, must be kept clear; every decision must support the goals and the common goal.
3. Event
We are there to ensure that our client can also participate on the day of the event.
Construction/Preparations
A successful event is already built during the first two phases. A well-planned, scheduled and professionally resourced event construction is a carefree and impressive experience, concretizing months of planning for both the client and our own production team. Despite good planning, we always polish small details during the construction phase whenever possible.
Event
Once the previous phases have been carefully taken care of, it is time to enjoy the event. The first few shots that go well are often the highlight that remains in the memory of everyone involved in the implementation of the event, a little excitement is released and everyone knows that a successful event day is in store. One of our most important tasks is to also offer our client’s contact person the opportunity to enjoy the event and its guests. A successful event is always the sum of the preceding phases and makes the eyes of the producer who enjoys their work water with pride time and time again.
4. Post-event work
We give our clients permission to breathe. With us, the client can trust that the project will be carried out to completion and that they can focus on enjoying the results and taking forward the high-quality discussions that arose during the event.
Immediate actions
Right after the event, we deliver feedback surveys, archive all necessary documents, review immediate customer feedback, take care of the event’s dismantling and handle any returns of goods to our client. We also want to receive feedback on all our projects ourselves, so we send our client’s contact person our own feedback survey immediately after the event.
A week after the event
We always want verbal feedback on the event, and the best way to do this is to go through it together with our client. We prepare for the summary meeting by producing a short report on the implementation and the measured issues. In this meeting, we also reflect on the completed project in relation to the goals specified in the planning phase. In addition, in the summary meeting, we always look to the future; We share lessons learned, successes and new ideas to support our client in planning future event projects.
